1. Filter Channels & Chatbot Status

Efficient channel management and status monitoring ensure your chatbots are always relevant and functional.

  • Channels: Assign specific chatbots to different communication channels like WhatsApp, Facebook Messenger, WeChat, Instagram, and your website.

  • Status: Active and In-Active. (i) Active: Ready to engage with customers and execute tasks. (ii) In-Active: Temporarily pause bots that are not in use, preventing unnecessary resource consumption.

2. Review Trigger, Exit, Jump (Keywords) and Start Schedule

Efficient keyword management is the backbone of any successful chatbot strategy. Here’s how to optimize each component:

Use the search function to identify keywords already in use, preventing duplication and ensuring smooth bot operations.

  • Trigger Keywords:

    • These are the words or phrases that activate a specific chatbot when customers send them in a message.

    • If your chatbot is set to "All Keywords," it will respond to every incoming message. (This can be fine-tuned under "" to prioritize specific bots.)

    • You can set different keywords for different chatbot purposes. When creating a chatbot, locate "Keywords" under the "Start Condition" on the left side. Press "Add" to start adding keywords. Additionally, you can select specific keywords to generate WhatsApp direct links and QR codes within the chatbot settings.

  • Exit Keywords:

    • Set exit keywords to help guide customers out of conversations effectively.

    • Enable "Auto Exit Bot" to automatically send an exit message and close the chatbot session if there is no response within a specified period (e.g., 5 minutes to 12 hours).

    • Pro Tip: Include a WhatsApp direct link in your exit message, making it easy for customers to reconnect with you.

  • Jump Keywords:

    • These facilitate seamless transitions between chatbots, ensuring smooth customer journeys without unnecessary delays.

    • You can set different keywords to jump to specific chatbots, tailoring the flow to meet various customer needs.

    • You will see "Jump Conditions" when you start to create a chatbot on your left-hand side. Press "Add" and insert "Keywords" and select the bot you want to trigger. Please make sure the triggering bot is set to active.

  • Start Schedule:

    • Define the time and days you want a chatbot to operate.

    • For example, you can set a bot to run only during business hours or for specific campaigns.

    • You can edit the chatbot schedule time under "Start Condition" when creating your chatbot. Click "Edit Schedule Time" and select the schedule type you want, either "Run with schedule," or "DO NOT run with schedule." Then press "Add" and pick the days and time.

3. Reorder (Chatbot)

4. Dry Run

A dry run allows you to simulate a real-life scenario where a customer sends a message to one of your channels. This feature helps you test and debug your chatbots effectively.

  • How to Perform a Dry Run:

    1. Select a channel (e.g., WhatsApp, Facebook Messenger, etc.).

    2. Choose a contact (either new or existing).

    3. Simulate a message (e.g., "Hi, I would like to know more").

    4. Set a date and time for the simulated message.

    5. Click "Simulate" and see which chatbot gets triggered.

  • Identify Triggered Bots: Instantly discover which chatbot is activated for specific keywords and scenarios.

  • Debug Issues: Ensure the correct bot responds to customer queries, avoiding miscommunication or delays.
