To add one or two customer(s), follow these steps:
From the Customer Menu:
Navigate to the "Customer" menu.
Click "Add".
Enter the customer's name and WhatsApp number to save their information.
From the Chats Section:
Go to the "Chats" menu.
Click the "+" button next to the search bar.
Select a channel, add the customer's name and WhatsApp number to create a new chat.
Go to the Menu options above and click Customer. You will see three red labels: Import, Export, and Add.
If you don't see the "Export" button, refer to the Permissions section below.
To manage customer data in bulk, export the relevant Excel template, first:
Access Export Options:
Navigate to the "Customer" menu.
Click the "Export" button.
Choose the Template Type:
Customer Info: Use this template to create or update basic customer information.
Generate and Download the Template:
Wait for the system to generate the report.
Download the Excel template once it’s ready.
Update the Template:
For new customers, fill in the name and contact details. The system will automatically create a unique ID for new entries.
Additional details can be managed later in the customer chatroom.
Once the excel template is updated, follow these steps to import it back into the system:
Navigate to the "Customer" menu.
Click "Import".
Select "Customer Info".
Upload the completed Excel template. The system will update the customer information accordingly.
Please complete updating your customer info first, and then proceed to update the customer labels.
The process for managing customer labels is similar to exporting/importing customer information, with a few additional details.
Export the Customer Label:
In the "Customer" menu, click the "Export" button.
Select "Customer Label" and download the Excel template.
Choose the Template Type:
Customer Label: Use this template to manage customer information, assign labels, and assign users (agents) to customers.
Fill in the Template:
For new customers, enter your WhatsApp API number in the "Channel" column.
Use the following columns for label management:
Label (Read Only): Displays the labels currently assigned to the customer.
Attach Label: Add any new labels you want to assign to the customer.
Detach Label: Remove any labels you no longer want assigned to the customer.
To assign customers to a team member, input their email address in the "Assigned To" column.
Once the excel template is updated, follow these steps to import it back into the system:
Navigate to the "Customer" menu.
Click "Import".
Select "Customer Label".
When working with templates, ensure the following columns are never left empty:
Channel (with district code)
Type (WhatsApp Official API, Facebook, Instagram, WeChat, Web)
Contact (with district code)
If the "Export" button is not visible, permissions may need to be enabled:
Go to Settings > Groups.
Select the relevant group.
Enable the "Customer Export" permission.
Important: Once this permission is enabled, all team members in the group will have access to export customer information. For security purposes, we recommend enabling this feature only for administrative roles.
